Note: Zenya is a paid integration, additional costs are associated with this connection. Activating this integration is outside the existing Embrace service. Please contact your account manager about this.
This article contains the following sections:
Embrace x Zenya
With the integration of the quality system Zenya (formerly iProva from Infoland) of the organisation, manuals and protocols of the organisation can be linked within the theme pages (A-Z) of Embrace Social. They can also be searched from within Social. The Zenya connection consists of the following components/functionalities:
- Recent documents widget
- Tasks widget (shows tasks assigned to the user)
- Protocols and documents in the CMS
- Search engine integration (show Zenya documents in the Embrace search engine)
Configuration
To configure Infoland Zenya, go to:
Management > Social Management > Advanced > Connect > Zenya
To establish a Zenya connection for the client, several details are required:
-
API Base URL:
https://clientname.zenya.work -
API Trusted Application/Token
ABC-1234DEFG-5678
- This token can be created by the client themselves within Zenya. How to do this is explained in this Zenya manual.
- For this, Embrace must provide the IP addresses of the Embrace production and acceptance environments.
- NOTE: When creating the token, the following option must be set to "Yes": "Allow generation of login tokens with this API key"
- This token can be created by the client themselves within Zenya. How to do this is explained in this Zenya manual.
- User authentication method: How do users authenticate with Zenya? You can choose between a personal login or a general login via a test user.
- Personal login - For a personal login, the SAMaccount, UPN or email address of the Embrace user must match the Zenya username of that user.
- We can optionally trim the domain from those fields. For example, we can use the Embrace email firstname.lastname@clientname.nl to match with the Zenya (iProva) username firstname.lastname
- The personal login is preferred because it always retrieves only documents relevant to the specific user (a user then only sees in the widget and search results the documents to which he or she actually has access in Zenya (iProva))
- Personal login - For a personal login, the SAMaccount, UPN or email address of the Embrace user must match the Zenya username of that user.
- Test user - Instead of a personal login, a single user is logged in. We usually use this only for testing the connection, but some clients also choose it as a final solution. This is easier to set up but means that search results are not personalised. Everyone sees the same Zenya information in Embrace (namely the information the linked test user has access to.)
- Search method: Where should the connection search? All portals, the user's start portal or in specific collections.
- Position of search results: Where should this category be shown on the search page
- Identifier of the search category: Must be identical to the position of the search results
Optional details:
- Allowed IP addresses: with this option you can determine from which IP addresses the Zenya (iProva) connection may be used. For example: If you want to disable Zenya (iProva) for mobile/external users, enter the internal IP range here. If it should be accessible from mobile, desktop and home, you can use *.*.*.* (without spaces)
- Open Zenya documents and tasks in a new tab: This setting works for the homepage widgets of Zenya. When checked, links in the widgets open in a new tab. If unchecked, they open in the same tab.
- Title of search results: Naming of the filter on the search page
- Search enabled: Determines whether results from Zenya (iProva) are shown in searches
