All people
The third menu item on the left in environment management is users. By clicking here you see an overview of all users, with their user type, status etc. You can easily search and filter to find the right user(s). By clicking on a user, you open the user overview on the right side. You have the following options:
- Info: contact and work information as shown on the front end of Social
- Groups: overview of the groups this user is a member of
- User settings: here, as an environment manager, you can adjust the default language, default theme, and advanced settings of a user
User settings
Default avatar
Change the default images of a user profile. These images are shown if a user has not yet added an avatar or header image.
Anniversary settings
Determine from which year the anniversary widget celebrates user anniversaries. Custom intervals are possible.
Language settings and user maintenance settings
Determines the default language of a user: Dutch, English or German. This only determines the language of the Social interface. Translation of content is done in Knowledge. The other settings can be easily checked or unchecked.
Profile editor
As an environment manager, it is possible to manage profile fields. Actions you can take:
- set fields to read-only
- disable fields
- add fields
Set fields to read-only
Fields filled by a profile synchronization are best set to read-only. If this is not done, the user can still edit these fields but the changes will be reversed once the profile synchronization is active again. It may be that not all users of Embrace are synchronized. For example, guest users are often not synchronized. And perhaps there are customers where certain users are not synchronized as an exception. Therefore, Embrace will try to make fields read-only only for users who are synchronized, while users who cannot be synchronized can still edit these fields even if these fields are set to read-only in environment management.
To determine whether a user is synchronized, Embrace looks at the following fields: UserPrincipalName, CorrelationId, Samaccount. If all these fields are empty for a user, then all profile fields for that user are editable.
Disable fields
If there are fields in the default Embrace profile that are not desired, they can be disabled. When a field is disabled, all existing content of this field is also deleted. If the field is enabled again afterwards, this field will not be filled for anyone anymore.
Add fields
It is possible to add fields to the default Embrace profile. When creating a custom field, an internal name must be provided. This internal name can be used in profile synchronizations.
Included in profile completeness
If you check this, the profile field affects the completeness of the filled-profiles widget (profile status widget). If you consider this an important field, be sure to check it to encourage users to further complete their profile.
Privacy settings
Privacy settings determine which personal data can be viewed by other users on the platform. You have the following choices:
- Only me
- My groups
- Everyone except guest users
- Everyone
Note: a change to these settings is only applied to new users. Therefore, before allowing users on the platform, you should carefully consider the most optimal configuration of the privacy settings. Settings for guest users cannot be changed: their settings are almost all set to 'My groups'. Contact information is set to 'only me'.
New users & Rights and roles
Add new user
Manually creating new users can be done, besides in the front end (groups), also via environment management. To do this, navigate from environment management in the menu to Users. Click on new user and follow the steps from environment management.
Edit user: 2FA and Rights & Roles
By clicking on a (new) user in this overview, several options open on the right:
- Information: detailed information about the user
- 2FA: registered multi-factor authentication devices
- Groups: which rights group this user is a member of (see bullet below)
- Roles: rights and roles regarding Management, Knowledge and Portals (rights & roles). For more information, see: Roles and rights
