Contacts
Here you manage the contacts that are displayed on the front end under contacts > phone directory. A contact is an organisation, place (location) or department. You can search by name and apply filters to find the correct contact. You can then:
- Activate contact: if the contact has been archived
- Archive contact: contact is no longer visible in the phone directory, but still in environment management
- Delete contact: contact no longer visible in environment management and in environment management
- Edit contact: adjust contact details (same screen as the heading below)
New contact
Here you create new contacts or edit existing contacts. It is not necessary to fill in all fields, but the more complete, the easier for the end user. Filling in the fields is quite self-explanatory, but some require additional explanation:
- Parent contact/Relation: enter here the organisation under which the organisation, place (location) or department falls. Under related, an employee can easily see which organisation the contact belongs to.
- Navigation: We recommend adding a Google Maps link, such as: https://maps.app.goo.gl/bPUUDkLVNaNqkCdbA
- External contact: Is this content from inside (internal) or outside (external) the organisation. At the moment this has no effect on the front end of Social, but we plan to make this metadata visible/filterable for end users in a future update.
Exporting and importing

Exporting
Via new contact > export contacts you can export all contacts stored in Social to Excel.
Importing
Via new contact > import contacts you can easily import existing contacts into Social:
- Download the Excel template directly from environment management
- Fill in the Excel (it is not necessary to fill in all fields)
- Unsure what the fields in the template mean and what you should fill in? Then first create a contact, fill in all fields and export all contacts (this way you better understand the logic)
- When uploading, make sure you upload a file with the extension .xlsx
